Cancellation Policies

We're here to help! If your cancellation request fits within the guidelines outlined below, contact the Welcome Desk to cancel your registration. You can email us at WelcomeDesk@MacEwan.ca (please include your name and course code) or call us at 780-497-5300 (option 2).

If you are cancelling a personal training session, please contact your trainer directly.

REGISTERED CLASSES

To receive a full refund, participants must withdraw from the fitness class by the withdrawal deadline indicated on the class information page, typically three full business days before the day the class starts. Withdrawals made after this deadline will not be refunded, except in cases where valid medical documentation is provided. Medical documentation must be submitted within 30 days of the class start date or the last class attended.

Participants may transfer to another program if space is available and with approval from the program coordinator. Participants are responsible for any additional costs.

Missed classes are not eligible for refunds or rescheduling.

DROP-IN CLASSES

Participants must withdraw at least 90 minutes before the class starts. No refunds will be issued for withdrawals after this deadline.

CANCELLATIONS BY SPORT AND WELLNESS

If a class or program is cancelled due to low enrollment, limited instructor availability, facility closures, or other unexpected reasons, participants will be notified by email as soon as possible. We strive to provide at least three days' notice; however, there are occasions when this may not be possible. In all cases, a full refund will be issued.

To receive a full refund, participants must withdraw by the deadlines listed below for each test type. Withdrawals after the stated deadline are non-refundable unless valid medical documentation is provided. Medical documentation must be submitted within 30 days of the scheduled test date.

Missed tests are non-refundable.

Partial refunds are not available for cancellations of group registrations.

COPAT, POPAT AND PARE TESTING

To receive a full refund, cancellations must be submitted at least two full business days before the scheduled test date.

If a participant is unable to provide valid medical clearance, they will not be permitted to test, and no refund will be issued.

N95 RESPIRATOR FIT TEST

To receive a full refund, cancellations must be submitted at least seven full business days before the scheduled test date.

PERSONAL TRAINING

A minimum of 24 hours’ notice is required to cancel or reschedule a personal training appointment. To cancel a personal training session, please contact your trainer directly.

Personal training sessions must be paid for prior to booking and must be used within one year of purchase. Unused sessions will expire one year from the date of purchase and cannot be refunded or transferred after this time.

BASELINE FITNESS AND BODY COMPOSITION ASSESSMENTS

A minimum of 24 hours’ notice is required to cancel or reschedule baseline fitness and body composition assessment appointments.

VO2 MAX TESTING

Withdrawals must be made at least two full business days before the scheduled test to receive a refund.

To receive a full refund, participants must withdraw seven full business days before the day the class starts. Withdrawals made after this deadline will not be refunded, except in circumstances where valid medical documentation is provided. Medical documentation must be submitted within 30 days of the lesson/class start date or the last lesson/class attended.

Missed classes are not eligible for refunds or rescheduling.

CANCELLATIONS BY SPORT AND WELLNESS

Withdrawals made after this deadline will not be refunded, except in circumstances where valid medical documentation is provided. Medical documentation must be submitted within 30 days of the league start date or the last game attended.

To receive a full refund, participants must withdraw seven full business days before the camp starts. Withdrawals made after this deadline will not be refunded, except in circumstances where valid medical documentation is provided. Medical documentation must be submitted within 30 days of the camp start date.

Missed camp days are not eligible for refunds or rescheduling.

Memberships can be cancelled at any time. All membership cancellation requests must be submitted in person or by email; phone cancellations are not accepted. Please include your reason for cancellation, full name, member number, address, phone number, and birth date to ensure the correct membership is cancelled.

  • Membership cancellations cannot be back-dated.
  • Cancelled memberships will receive a prorated refund based on the withdrawal date.
  • There are no refunds due to lack of use, it is the member’s responsibility to cancel.
  • Monthly memberships with an unpaid declined payment will be withdrawn at the end of the month, and insufficient fund (NSF) fees will be assessed.
  • For MacEwan Employees or those with Corporate Discounts, memberships will be withdrawn by Sport and Wellness if employment status changes. Proof of eligibility is required yearly.
