Cancellation Policies

We're here to help! If your cancellation request fits within the guidelines outlined below, contact the Welcome Desk to cancel your registration. You can email us at WelcomeDesk@MacEwan.ca (please include your name and course code) or call us at 780-497-5300 (option 2).

If you are cancelling a personal training session, please contact your trainer directly.

Withdrawals and Transfers

REGISTERED CLASSES

To receive a full refund, participants must withdraw from the fitness class by the withdrawal deadline indicated on the class information page, typically three full business days before the class start date. Withdrawals made after this deadline will not be refunded, except in cases where valid medical documentation is provided. Participants may transfer to another program if space is available and with approval from the program coordinator. Participants are responsible for any additional costs.

DROP-IN CLASSES

Participants must withdraw at least 90 minutes before the class starts. No refunds will be issued for withdrawals after this deadline.

Missed Classes

Missed classes are not eligible for refunds or rescheduling.

Cancellations by Sport and Wellness

If a class or program is cancelled due to low enrollment, limited instructor availability, facility closures, or other unexpected reasons, participants will be notified by email as soon as possible. We strive to provide at least three days' notice; however, there are occasions when this may not be possible. In all cases, a full refund will be issued.

To receive a full refund, participants must withdraw at least two full business days before the test. Withdrawals made after this deadline will not be refunded, except in circumstances where valid medical documentation is provided. No refunds will be issued for missed tests. Failure to provide valid medical clearance will result in not being permitted to test, and no refund will be given. Partial refunds will not be given for group registration cancellations.

A minimum of 24 hours’ notice is required to cancel or reschedule a personal training or fitness assessment appointment. For VO2 Max Testing, participants must withdraw at least two full business days before the test. Cancellations made after these deadlines will not be refunded, except in circumstances where valid medical documentation is provided.

Personal training and fitness assessments must be paid for prior to booking and must be used within one year from the date of purchase. Unused sessions will expire after this period and cannot be refunded or transferred.
